Real Estate & Facilities Operations Coordinator
Key Role:
Oversee workplace scheduling and usage by adjusting to maximize utilization. Work closely with executive assistants
(EAs) to optimize scheduling of private and dedicated partner rooms, manage scheduling of open collaboration spaces,
and ensure appropriate use of space, including privacy booths and huddle rooms. Manage new hoteling policies by
assisting with schedule coordination for leadership and EA hoteling, reverse hoteling, and provide onsite management of
desk signs. Provide meeting and event support by ensuring meeting and event logistics are appropriately captured in
EMS. Provide CBRE training as needed, facilitate logistics coordination and planning for high profile meetings and events,
and observe and report data discrepancies. Assist to manage project timelines, including NexGen projects,
communications, reserve configuration, and updates. Support to meeting services and reserve mailbox inquiries and
support meeting services and reserve help desk tickets.
Basic Qualifications:
-3+ years of experience with facilities management or meeting planning
-2 years of experience with handling logistics, budget oversight, vendor management, and contract review
-Experience with the learning and development of new staff and training of internal policies and procedures
-Ability to meet deliverables in high-paced and structured or unstructured environments
-Ability to communicate with all levels of staff, including officers and board members effectively
-Ability to leverage business acumen and technical adeptness
-BA or BS degree
Additional Qualifications:
-Possession of excellent service orientation, responsiveness, and organizational skills
-Possession of excellent oral and written communication skills
